CASEVIEW: A NEW WEB-BASED TOOL FOR EFFICIENT OPERATING ROOM MANAGEMENT

Tech ID: 19093 / UC Case 2009-007-0

Brief Description

The effective management of surgical operating rooms (OR) is crucial for safe, high quality, patient care. However, this can be very challenging due to the number of staff, patients, and rooms involved, combined with the necessary coordination of equipment, medications, and supplies. To address this important issue, the UCSF OR has developed a novel, easy to use tool to visualize and manage OR use in real-time.

Full Description

CaseView is a web-based application that provides a daily view of past, present, and future OR cases on a user-friendly visual interface. It provides a complete top level view of call cases, in all rooms, for an entire day, at the times in which they occurred or are scheduled to occur. Detailed case information can then be obtained by clicking on an individual case. The display is automatically updated every few minutes from data stored in the PICIS OR Manager and currently OPTIME (since 2012) database, allowing real-time management of the OR. Other innovative features of CaseView include one-click access to preference cards, a visual comparison of the scheduled vs actual times of each case, blinking screen elements to alert the user to conditions requiring attention, and an overview of the current perioperative stage of each OR patient.

Features/Benefits

  • Web-based, so it requires no client installation and minimum support staff (at UCSF it is maintained by a single developer and a single OR nurse).
  • Easy to use. Staff training is not required.
  • Tracks cases in real-time, so users can quickly determine the status of each case.
  • Optimized to search and display data from Picis OR Manager database, and easily adaptable to other OR databases.
  • Each user can customize and save display settings to show only their preferred information at an optimal font size.
  • Single-click access to detailed case information, preference cards, and bed control.
  • Blinking screen elements quickly alert users to situations requiring attention.
  • Ability to search for particular cases, preference cards, or supplies.
  • Dramatically reduced calls to the OR.
  • Integrates with Active Directory. Access is controlled via AD groups using network logins.

Applications

  • Effectively manage the OR to ensure safe, high quality, patient care.
  • Track patient progress through perioperative stages to keep family members and unit nurses informed.
  • Measure efficiency of OR use to the minute using the visual comparison of scheduled vs. actual times for each case and tracking extra time spent in PACU.
